Privacy Policy

South Dade Toastmasters Club

Who we are

​

South Dade Toastmasters Club ("the Club," "we," "us") is a volunteer-run, nonprofit club chartered by Toastmasters International. This policy explains what personal information we collect through our website at southdtm.org and through Club activities, how we use it, who can see it, and the choices you have.

Information we collect

​

Information you give us. When you join the Club, create a member account on our website, or contact us, we may collect your name, email address, phone number, and any other details you choose to share, such as a profile photo or bio.

Meeting and event participation. Club meetings and events may be photographed, audio recorded, and video recorded, as described in our Media Recording and Public Use Acknowledgement. This includes online meetings held through services such as Google Meet or Zoom, etc.

Website usage information. Our website is hosted on Wix. Wix and any analytics tools we use may automatically collect information such as your IP address, browser type, device, pages visited, and time spent on the site. Some of this is collected through cookies (see "Cookies" below).

How we use your information

​

We use your information to run the Club and support members. That includes managing membership and dues, communicating about meetings, roles, and events, scheduling meeting roles and tracking educational progress, giving members access to the members-only area and meeting recordings, promoting the Club, and improving our website. We do not sell, rent, or trade your personal information to anyone.

What other members can see

​

Our Club works because members connect with each other. For that reason, a member’s name, and in some cases their email address and phone number, may be visible to other logged-in members through the members area or member directory.

Contact information is visible to members only. It is never shown on public pages of our website. If you do not want your phone number or email address shown to other members, contact us at admin@southdtm.org and we will remove it from the directory. You can also update your profile settings where available.

We ask all members to use other members’ contact information only for Club-related purposes. Do not copy, share, or distribute the member directory or member contact details outside the Club.

Photos, recordings, and public use

​

As described in our Media Recording and Public Use Acknowledgement, photos, video, audio, and screenshots from Club meetings and events may be used for educational, promotional, archival, and community purposes. They may also be posted publicly, including on our website, social media, and video-sharing platforms. This applies to members and to guests attending meetings. We announce at the start of recorded meetings that recording is taking place.

Some meeting recordings are shared with members through a link to a Google Drive folder. Anyone who has that link may be able to view the recordings, so we ask members not to share recording links outside the Club.

If you would like a specific photo, clip, or recording that includes you taken down from a platform we control, contact us at admin@southdtm.org. We will make reasonable efforts to remove or edit it. Once content has been shared publicly, we cannot control copies made or shared by others.

Who we share information with

​

We share personal information only in these situations:

  • Toastmasters International. We report member names and contact details to Toastmasters International, as required for club membership, dues, and educational recognition. Toastmasters International handles that information under its own privacy policy, available at toastmasters.org.

  • Service providers. We use services that help us operate, such as Wix (website hosting and member accounts), Google (Drive, Meet, and email), Zoom, TMSchedule.com, and Toastmasters.org. These providers process information on our behalf under their own privacy policies.

  • Legal and safety reasons. We may disclose information if required by law or to protect the safety of our members or others.

How we protect your information

​

We keep member contact information behind a members-only login, and we limit administrative access to Club officers who need it. We do not store member contact lists in publicly shared folders. However, no website or online service is completely secure, and we cannot guarantee that information will never be accessed without authorization. If we become aware of a security incident affecting your information, we will notify affected members as soon as reasonably possible.

How long we keep information

​

We keep member information while you are an active member and for a reasonable time afterward for Club records. Meeting recordings and photos may be kept in our archives indefinitely unless you request removal as described above. You may ask us to delete your account and contact information at any time.

Your choices

​

You can ask us to show you the personal information we hold about you, correct it, or delete it. You can also ask us to remove your contact details from the member directory, or to take down content that includes you. You can unsubscribe from Club emails using the link in any email or by contacting us. To make any of these requests, email admin@southdtm.org.

Cookies

​

Our website, through Wix, uses cookies and similar technologies. Some are necessary for the site to work, such as keeping you logged in. Others help us understand how visitors use the site. You can accept or decline non-essential cookies through the cookie banner on our site, and you can block or delete cookies in your browser settings. Blocking some cookies may affect how the site works. Our website does not currently respond to browser "Do Not Track" signals.

Children

​

Toastmasters club membership is for adults. Our website is not directed at children, and we do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, contact us and we will delete it.

Links to other websites

​

Our website links to other sites, such as Toastmasters International, Google Drive, and social media platforms. We are not responsible for the privacy practices of those sites. Please review their policies.

Changes to this policy

​

We may update this policy from time to time. When we do, we will update the effective date at the top of this page. Significant changes will be announced to members.
